Crack or Character? How to Handle Complaints About Wooden Boards

Wood is a natural material, and no two boards are alike. Most complaints come from this simple fact, or from wrong care. A clear way to sort them saves time and keeps customers.

1. Natural features: not a defect

  • Colour and grain that differ from the photo or from another board
  • Small sound knots and darker mineral streaks
  • Shiny flecks in oak, a typical mark of the species
  • A slightly rough surface after the first wash, when the fibres rise
  • Darkening with time and use

Explain it kindly: this is what makes each board unique. Raised fibres disappear after a light sanding and a coat of oil.

2. Care damage: explain and help

  • Warping after soaking or a dishwasher cycle
  • Cracks after drying on a radiator or in the sun
  • A grey, dry surface that was never oiled
  • Stains and smells from food left on the board

Do not blame the customer. Show how to restore the board where possible, and offer a small gesture such as a discount on care oil.

3. Real defects: solve at once

  • An open glue joint or a crack on a new board
  • A board that is warped out of the box
  • Loose knots, holes or unfinished rough areas
  • Wrong size or wrong engraving

Replace the board or refund without discussion. Statutory consumer rights apply in any case.

4. How to answer a complaint

  1. Thank the customer and ask for two photos.
  2. Ask how the board is washed, dried and stored.
  3. Decide which of the three groups it belongs to.
  4. Offer the solution for that group, in one clear message.

5. Prevent complaints before they start
Put a care card in every package, write “natural product, every board is unique” on the product page and show several boards in the photos. One sentence at the till about the dishwasher does more than any return policy.

6. Report back to your supplier
Send photos and the delivery date of defective boards. A good supplier replaces manufacturing defects and uses the feedback.
